VP Core (“we,” “our,” or “us”) is a product of Varsity Page. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our school athletics operations platform.
We understand the sensitive nature of school and athletics program data. We are committed to protecting your information and being transparent about our data practices.
2. Information We Collect
2.1 Account Information
- Name and email address
- School or organization affiliation
- Role within your athletics program
- Authentication credentials
2.2 Athletics Program Data
You may upload or input information related to your athletics program, including:
- Team and roster information (athlete names, contact details, eligibility status)
- Schedules, events, and game results
- Sponsor and partnership information
- Documents such as contracts, policies, and handbooks
2.3 Usage Information
- Log data (IP address, browser type, pages visited)
- Feature usage and interaction patterns
- VP Chat queries and responses
3. How We Use Your Information
We use the collected information to:
- Provide and maintain our athletics operations platform
- Power VP Chat AI to answer questions about your program
- Improve our services and develop new features
- Communicate with you about your account and updates
- Ensure security and prevent fraud
- Comply with legal obligations
4. Data Sharing and Disclosure
We do not sell your personal information. We may share data in these circumstances:
- Service Providers: Third-party vendors that help us operate our platform (hosting, analytics, AI processing)
- Varsity Page Ecosystem: Data may be used within the broader Varsity Page product suite to enhance your experience
- Legal Requirements: When required by law or to protect our rights
- Business Transfers: In connection with a merger, acquisition, or sale of assets
5. AI and Data Processing
VP Core uses artificial intelligence to power VP Chat and provide insights about your athletics program. Your data is processed by AI models from providers including Google and Anthropic.
We do not train AI models on your specific school data. Your information is used only to provide responses within your account.
6. Data Security
We implement industry-standard security measures:
- Encryption of data in transit (TLS) and at rest
- Secure authentication including optional multi-factor authentication
- Regular security assessments and updates
- Access controls limiting data access to authorized personnel
7. Data Retention
We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your data at any time by contacting us.

9. GDPR — EEA, UK, and Switzerland Visitors
This section applies if you are located in the European Economic Area, the United Kingdom, or Switzerland.
Lawful basis. Where we process personal data about visitors to our public marketing pages via analytics cookies (see the Cookie Policy), our lawful basis is your consent (GDPR Art. 6(1)(a)). We do not set analytics cookies or start session replay for visitors in these regions until you explicitly accept the cookie notice. For account and athletics-program data covered elsewhere in this policy, our lawful basis is performance of our contract with your school and our legitimate interests in operating the Service.
Your rights. In addition to the rights listed in Section 8, you have the right to lodge a complaint with your local data protection authority.
Withdrawing consent. You may withdraw analytics consent at any time, as easily as you gave it, via the “Cookie Preferences” link in the footer of any marketing page. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
International transfers. Our analytics provider (PostHog) processes marketing-site event data on infrastructure located in the United States. Where this involves a transfer of personal data out of the EEA/UK/ Switzerland, we rely on appropriate safeguards required under applicable law.
10. CCPA/CPRA — California Visitors
This section applies if you are a California resident and supplements the rest of this Privacy Policy per the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA).
Notice at collection. On our public marketing pages, we (via PostHog) collect the following categories of personal information from visitors: device and browser identifiers, approximate location derived from IP address, and usage/interaction data (pages viewed, features used, referring source). We do not collect names, email addresses, or other direct identifiers through marketing-site analytics.
We do not sell your personal information, and we do not “share” it for cross-context behavioral advertising as defined by the CPRA. Marketing-site analytics runs by default for California visitors (a CCPA opt-out model, rather than the EEA/UK opt-in model in Section 9), and you may exercise your right to opt out of any future sale or sharing at any time using the control below, the cookie notice, or the “Cookie Preferences” footer link.
We will not discriminate against you for exercising any CCPA/ CPRA right. For all other CCPA/CPRA requests (access, deletion, correction, portability), contact privacy@varsitypage.com.
11. Children's Privacy
VP Core is designed for use by school athletics administrators and staff. While roster data may include information about student athletes, we do not knowingly collect personal information directly from children under 13. Schools are responsible for obtaining appropriate consents for student data.
12. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of material changes via email or through our platform.
